JOB DESCRIPTION
TITLE: Technical Services Associate I DEPT.: Technical Services
REPORTS TO: Technical Services Manager CLASSIFICATION: Non-Exempt
Objective:
Perform responsibilities in technical areas of specialization in accordance with the policies and procedures of the Palatine Public Library District.
Duties:
1. Order, receive, invoice, withdraw, and claim materials in the Innovative database.
2. Prepare orders for materials and place orders with appropriate vendors.
3. Process and label materials.
4. Enter and edit records in the database.
5. Maintain standing order database and files.
6. Perform database cleanup.
7. Sort mail for appropriate departments.
8. Resolve minor material order issues with vendors.
9. May maintain inventory and presentation of book nook.
10. Order department supplies.
11. Participate in department meetings, library meetings and serve on library committees as appropriate.
12. Continue professional development by attending conferences, workshops, etc. in order to maintain current expertise in appropriate areas.
13. Complete special projects as assigned.
Performs other miscellaneous duties as assigned.
Minimum Qualifications:
Education:
High School diploma or equivalent.
Experience:
3-6 months customer service and/or data entry experience desired.

• Knowledge of Windows platforms and Windows Office Suite (Word, Excel, PowerPoint, Outlook, Publisher and Internet Explorer)
• Knowledge about and/or experience communicating via social media channels
• Fluency in successfully searching library catalogs and research databases
• Experience with integrated library systems (Innovative systems preferred)
• Ability to troubleshoot minor problems with computers and peripherals
• Demonstrates ease and comfort with emerging technologies

The Villa Park Public Library seeks two versatile, reliable, service-oriented individuals to become our new Public Services Assistants in Youth Services. Join a team that is committed to providing a high level of service to the public and works with patrons of all ages. We are looking for active self-starters who have genuine interest in working with youth and families.

Key responsibilities include working at our Information Desk where we assist patrons with identifying and locating materials, answer reference questions, and provide readers’ advisory services, homework help, and instructional support. Other responsibilities include programming for youth, such as story times for young children and families, and assisting with program registrations and preparations. Additional duties may include creating and maintaining booklists and displays, and special projects as assigned.

The Public Services Assistant in Youth Services “A” position averages 13.5 hours a week. It requires the following shifts: 8:45 am–1:00 pm every Wednesday; 1:00–9:00 pm every Thursday; one shift every eighth week on Saturdays from 9:00 am–5:00 pm; and one shift every other Sunday from 1:00–5:00 pm. There are no Sunday shifts between Memorial Day and Labor Day.

The Public Services Assistant in Youth Services “B” position averages 13 hours a week. It requires the following shifts: 1:00–9:00 pm every Wednesday; 12:30–5:00 pm every Thursday; one shift every eighth week on Saturdays from 9:00 am–5:00 pm; and one shift every fourth Sunday from 1:00–5:00 pm. There are no Sunday shifts between Memorial Day and Labor Day.

Candidates holding a Bachelor’s degree are preferred.

This is a part time position under the direction of the Supervisor. This position also requires continuous flow of library materials to and from the patrons, registering and maintaining patron’s records with excellent customer service skills. Work with staff from other departments as needed to provide quality service to the Library in conformance with Library policies and procedures and professional standards.

QUALIFICATIONS/BASIC JOB REQUIREMENTS:

• High school diploma or GED required
• Entry-level knowledge of secretarial procedures, office methods, and practices
• Operate various types of office equipment.
• Type 40 wpm.
• Accurately file numerically and alphabetically.
• Demonstate attention to detail.
• Ability to read and comprehend, in English, communicate in an effective manner both verbally and written with library patrons. Bi-lingual in Spanish a plus

ESSENTIAL FUNCTIONS:

• Routine check out of library materials, including items on Hold from the adult services department.
• Routine check in of library materials.
• Register patrons with library cards
• Take payment for fines or lost/damaged materials
• Handle routine complaints and answer a variety of questions at the circulation desk.
• Perform search for materials and notifiy patron of results
• Assist patrons in use of library equipment upon request and perform simple maintenance functions such as filling of paper and clearing jams.
• Answer the telephone preferably within two rings and provide general information and accurate transferring of incoming calls.
• Inspect incoming library materials for damages and handle according to in-house procedures.
• Perform all opening/closing procedures in circulation area.
• Maintain a tidy and well-organized circulation area, desk and registration area.
• Assist in accurate shelf reading and reshelving of materials when page(s) are absent or as needed.
• Count and record daily fines on an as needed basis.
• Accurate file and shelve CD’s and DVD’s.
• Other circulation duties as required by Supervisor or by the Director.
• Conduct all library business in a professional and cooperative manner
