Position Summary: Performs all acquisitions-related functions including ordering, receiving, processing, and claiming materials. Assists the Director with the daily operations of the library. Maintains orderly and precise personnel, financial, business, and library records. Performs general office duties.

Essential Responsibilities:

  1. Responsible for pre-order checking, bibliographic verification, and placing of orders for requested materials.
  2. Receives, unpacks, sorts, and verifies library materials and supplies against documentation. Identifies incorrect or damaged materials. Reconciles incoming materials against invoices and purchase orders.
  3. Oversee collection of fines and fees, replacement of lost library materials, and donations of new library materials.
  4. Receives incoming correspondence and distributes to appropriate parties for attention and response.
  5. Print out and send overdue and billing notices. Maintain accurate billing and fine records. Submit list of students with missing books and outstanding fines to Business Office.
  6. Submits and tracks work orders and repair/maintenance requests for library facilities, cleaning, general repairs and maintenance, and servicing equipment (security gate, photocopiers, fax machine, etc).
  7. Establishes and maintains files of important correspondence, records, and reports; retrieves or searches files for information at the Director’s request and maintains appropriate controls over files.
  8. Assists patrons at the circulation desk including circulating, retrieving, and preparing library materials for use. Schedules and provides access to study rooms. Collects monies from library users (fines, fees, and replacement costs). Shelves books.
  9. Conduct simple troubleshooting on library lab computers, photocopiers, printers, and scanners. Assist library patrons with use of equipment.
  10. Provides basic reference service, such as demonstrating the routine use of the public catalog. Assists users in locating library material by performing simple title, author, subject, and keyword searches.
  11. Handles all correspondence and procedures related to the purchasing process; Reconciles monthly statements
  12. Track part-time employees’ time and prepare payroll.
  13. Performs a variety of duties that are specific to the Library that require knowledge of the procedures and functions of the Library.
  14. Assists with the open and closing of the library.
  15. Maintains and orders office supplies, book processing supplies, library equipment, and archival supplies
  16. Compiles statistics and reports; Enters, verifies, updates, and maintains records related to the activities of the unit.
  17. Participates in inventory, shelf reading, weeding, and collection shifting projects as required.
  18. Performs other duties to assist with the efficient operation of the Library and/or consistent with the role of the position.

Minimum Qualifications:

  1. Associate’s degree and two years secretarial, billing or library acquisitions experience; or high school degree or equivalent and four years of secretarial, billing, or library acquisitions experience.
  2. Work independently; Ability to prioritize and organize work effectively.
  3. Proficient operating knowledge in the use of Microsoft Office.
  4. Handle confidential/sensitive information with discretion, tact, and diplomacy.
  5. Demonstrated oral, written, and interpersonal communication skills.

Preferred Qualifications

  1. Work experience in a school or community college setting.
  2. Work experience in a public or academic library.
